Changing your plan
This page is part of Plans, add-ons, and billing. It covers changing the plan your organization is on: the Choose your plan card, moving to a cheaper plan, a plan RotorLab prepared for you, and education and nonprofit plans.
Choose your plan#
Under Billing, then Plan, the Choose your plan card changes your plan, adds add-ons, or both, one step at a time: Plan, Add-ons, Billing details, How to pay and Review, with Back and Next under each step. Nothing is ordered until the last step. It is there for organization admins and members with Billing: manage, and it is not offered while an unpaid invoice suspends paid access or while an order waits for RotorLab.
- Plan. It opens with nothing selected, so nothing changes until you choose, and Next waits for your choice. Once you have a plan, Keep your current plan is the first choice; below it are the other plans on the pricing page, each with its price (a yearly plan as its price a month, billed annually), and no trial once your organization is on a plan. Once your plan or trial has ended, the plan you were on is listed to restore. As soon as you pick another plan, the card shows what the change means (below).
- Add-ons. Every add-on and bundle RotorLab sells for your organization, including ones not listed on the pricing page, that the chosen plan does not include and your organization does not already hold, on the plan's own billing period (a yearly plan lists yearly add-ons), each with its price and what it does.
- Tick the ones you want.
- Add-ons the plan includes, and ones you already have, are named under the list.
- Per-aircraft add-ons such as Fleet Manager are bought by the aircraft count: the step lists them with your slots in use and Add aircraft slots opens Add-ons.
- A plan that bills nothing every month or year (a free plan, or one paid once) takes no add-ons with it; keep your plan to add them on their own.
- On the free trial, the step says that an add-on works alongside a plan: if the trial ends without one, your organization becomes read-only, the add-on included, until you choose a plan.
- Billing details. The contact, billing email, address, country and tax or VAT ID, filled in from Billing details and saved there when you press Next.
- How to pay. Card or Purchase order, where each is offered. An education or nonprofit plan offers Purchase order only. Add-ons chosen together without a plan change are paid by card only when your plan is paid by card on the same billing period, where they go on its subscription; otherwise the step says so and offers the purchase order.
- Review. Each line with its price, the total for each billing period, the credit and when the change starts, what stops renewing, how you pay and who it is billed to.
- Go to checkout opens checkout with the way to pay you chose; where there is nothing to pay now (a cheaper plan that waits for the end of your period, or a request RotorLab approves), the button is Send the request.
- When you keep your plan and add add-ons or bundles, the review also says what is charged now: by purchase order on a plan invoiced by purchase order, each line's share of the plan's period left to its renewal date, then its full price with the plan, with the amount invoiced if RotorLab approves today first under In all; by card on a plan paid by card, that the first charge runs only to the plan's renewal.
- Checkout's summary says the same for the way to pay you have open, and by purchase order its total then reads Invoiced if approved today.
Each add-on chosen with a plan is an order of its own beside the plan's, the same order Add-ons makes, and checkout lists them under the plan with the total. Paid by card, you pay for the plan on Stripe's page; once the plan starts, each add-on goes on the plan's new subscription and is charged to the same card for the rest of the period, then renews with the plan. If one cannot be charged, it waits under Orders and invoices for you to pay it, and nothing is charged for it. Paid by purchase order, each is invoiced on its own when RotorLab approves the order. Rejected, the add-ons go with the plan.
A move to a cheaper plan that waits for the end of your period takes no add-ons with it: choose them with your current plan, or once the new one starts.
What a change means#
What a plan change means is shown before anything is requested:
- the two plans and their prices, and the difference a month;
- for a more expensive plan, the credit for the unused part of your current period, which comes off the first charge, and that first charge; if the credit is more than the first charge, the rest is not refunded, and the card says so;
- when it starts: when you complete checkout (at once by card, or when RotorLab approves a purchase order), when RotorLab approves the request for a plan with no charge or an education or nonprofit plan, or, for a cheaper plan, on the day the period you have paid for ends;
- people over the new plan's user limit, and registered aircraft over the slots the new plan gives with what you bought. A plan that allows fewer people than your organization has cannot be requested while your plan runs: the card says how many to remove under People, then Members (or disable, on a plan that counts active members), and Next is refused until they fit. Once your plan or trial has ended, people cannot be removed, so the smaller plan can be chosen: the card, and the Plan ended page, say how many members go, and when the plan starts the newest members over its limit are suspended, administrators kept first. Their records stay, and an administrator can reactivate one after removing another;
- capabilities no longer included, and those newly included;
- add-ons you pay for every month or year, by card or purchase order, that the new plan includes, which stop renewing when it starts.
A more expensive paid plan goes on to checkout; a plan with no charge is submitted for review and applies once approved. When a card plan change starts, the subscription it replaces is ended without a separate refund, because its unused part is the credit on the new plan's first invoice. Aircraft slots and add-ons on the old subscription move to the new one: they are charged for the new subscription's period, and the unused part of what you paid for them on the old one is credited against that charge.
A move by card to a plan billed on another period is refused before checkout while an add-on on your card subscription is billed on the old period, and the message names it: stop it first under What you pay.
Moving to a cheaper plan#
A move to a plan with a lower price a month, while you are on a paid monthly or yearly plan whose paid period (by card or by purchase order) is still running, does not start at once. Send the request schedules it for the day that period ends, and there is no checkout and no credit: you keep the plan you paid for until then. Price a month means a yearly price counts as a twelfth.
Switching the same plan between monthly and yearly billing, in either direction, also waits for the end of the period you have paid for, with no checkout and no credit, so no paid time is lost; you can cancel it under Billing, then Plan until it starts. A one-time plan is bought at once with the credit for the unused time, and a move to a plan with no charge waits for RotorLab's approval instead.
While the change waits, the Subscription card shows Plan change scheduled. with the plan, the day it starts and what it costs from then, for example "Moves to Solo on 2026-11-04, when the period you have paid for ends: US$49.00 a month from then. Until then nothing changes." Press Cancel the plan change and confirm to stay on your current plan; it then renews as it does now. One change waits at a time.
On the start day, a card subscription goes on at the new price on the same card, with nothing else to do. On a purchase order, the current plan's next renewal invoice is not issued, and the new plan's first invoice is issued and emailed that day. If you pay by card and cancel a waiting change, wait about two minutes before you ask for another.
A waiting change is dropped, and your plan stays as it is, if your plan changes another way before the start day, if your organization's plan ends, or if the subscription or renewal it was scheduled on is canceled.
By card, moving between monthly and yearly billing is refused while add-ons or aircraft slots share the plan's card subscription, because a card subscription has one billing period. Stop those lines first, or contact RotorLab.
Section 5 of the Terms of Service sets out the same rules: a move to a cheaper plan at the end of the paid period with no credit, education and nonprofit plans starting once RotorLab approves them, what a full refund or a lost payment dispute means, and Stop renewing for one add-on or bundle.
A plan RotorLab prepared for you#
A plan RotorLab prepares for your organization, which the pricing page does not list, reaches you as a private link. The link opens the plan's page: what it includes and its price. Signed out, Create your organization opens the sign-up form on that plan alone, and Sign in to take this plan for your organization brings you back to the page signed in. Signed in as an organization admin or a member with Billing: manage, the page shows what the change means for your organization (the credit, when it starts, what stops renewing) and Take this plan for your organization goes on to checkout, as any plan change does; other members are asked to have an administrator open the link.
The plan's price is the one RotorLab quoted you, so checkout takes no discount code on a plan reached through its private link. A link RotorLab replaces stops working at once.
Education and nonprofit plans#
RotorLab approves education and nonprofit plans (and their yearly prices) before they start. When you sign up for one (checkout opens from the link RotorLab emails you) or request one under Choose your plan, checkout offers only Pay by purchase order and says why; you can place the purchase order now, and the plan starts when RotorLab approves it. Where purchase orders are not offered, the request is recorded and the page says RotorLab will email you once it is approved. To pay by card instead, wait for the email saying the request is approved and open Complete checkout in it. For an organization that already exists, the link asks a member with Billing: manage to sign in before paying.
When the plan you request costs less a month than your current plan and your paid period is still running, there is nothing to pay now: once RotorLab approves the request, the plan starts on the day the period you have paid for ends and is billed the way you pay today, by card or by purchase order. RotorLab's approval email names the day it starts, the Subscription card shows Plan change scheduled., and you can cancel it with Cancel the plan change before then. Approval is needed for a plan with no charge too: once the request is approved, open Complete checkout in the approval email to start it.
